Fast customer service starts with accurate facts and a clear next step. A reusable email template helps with structure, but each reply still needs details from the customer's order and your store policy.
Before sending any template below, replace every bracketed field. Check the order record, tracking page, prior messages, and the policy in force when the customer ordered. Remove any sentence you cannot support.
What Every Order Support Reply Needs
Keep each message focused on four points:
- Acknowledge the customer's specific problem.
- State only facts you verified.
- Explain the next action and name the owner.
- Give a realistic time for the next update, when known.
Avoid fixed promises in saved templates. Shipping estimates, refund timing, and return rules change by carrier, payment method, location, and store policy.

Turn Templates Into a Reliable Workflow
Store each template with a clear owner and a short checklist of facts to verify. Review saved wording whenever shipping partners, return rules, or refund processes change. Sample sent replies to find unsupported promises and unclear next steps.
AI-assisted drafting should follow the same controls. Give the draft the customer conversation and verified order facts, then require a person to check and send the final response.
