WooCommerce Shared Inbox: What Small Support Teams Need Beyond a General Mailbox

  3. Any previous conversation that changed the customer's expectation.
  4. What the store record does not yet confirm.

Do not turn a missing tracking update into a delivery promise. A clear next step is more useful than a confident guess.

Keep AI in the Draft Stage

AI can save time when it turns a conversation and verified context into a first draft. It should not decide whether an order qualifies for a refund, invent a shipping date, or send on its own.

The practical control is simple: make the draft visible to the person who owns the thread, require that person to check the facts and wording, and let that person send the final reply. This keeps judgment with the store while reducing repetitive writing.

A Low-Risk Rollout Checklist

You do not need a long migration project to test a better workflow. Start with the messages that cost the most time, usually delivery status, address changes, damaged items, and returns.

  • Choose one support address and one owner for each incoming thread.
  • Agree on the status labels and escalation path before inviting the whole team.
  • Connect WooCommerce only after an administrator has intentionally configured the credentials and appropriate access.
  • Link or sync the relevant order before relying on its information in a reply.
  • Review a small set of sent replies weekly for unsupported promises or missing context.
